MedRecordBar

Use your phone for voice input on any Windows computer

MedRecordBar combines three daily clinical workflows: floating-bar screenshot OCR, phone voice input, and bring-your-own LLM integration. Capture text from HIS screens, dictate with a phone, then let an LLM format the content into SOAP notes, admission notes, discharge summaries, and other English drafts.

The desktop program is free when you use your own local LLM or your own OpenAI, Claude, Gemini, or OpenAI-compatible API key. You control the AI provider and usage cost.

Phone-to-desktop text is encrypted on the phone and decrypted by the desktop app.

Core Features

Three core features for clinical documentation: screenshot OCR from the floating bar, phone voice input, and flexible integration with local or cloud language models.

Floating-Bar Screenshot OCR

Keep the floating bar above HIS or report windows, capture a selected screen region, and convert visible text into editable note content without interrupting the workflow.

Phone Voice Input

Scan the QR code and dictate through the phone keyboard. No microphone or local speech model is needed on the Windows workstation.

Use Your Own AI Model

Use a local language model or your own OpenAI, Claude, Gemini, or OpenAI-compatible API key. The app itself is free; AI usage depends on your selected provider.

Best Fit

Best for Inpatient Documentation

MedRecordBar is especially useful for inpatient workflows where clinicians need to gather information from HIS screens, dictated history, progress notes, admission notes, transfer notes, discharge summaries, and weekly summaries.

  • Speeds up inpatient note drafting and documentation workflows
  • Reduces repetitive typing for physicians and nurse practitioners
  • Helps organize scattered HIS text, screenshots, and dictated content into editable English drafts

Security and Privacy

MedRecordBar is designed to reduce unnecessary exposure of clinical text while keeping final data governance in the hands of the user and institution.

  • All communication between the desktop app, phone, and server uses encrypted transport
  • The relay service does not store transferred clinical content or any intermediary metadata
  • The desktop app includes built-in de-identification features before AI processing
  • Users remain responsible for final review, de-identification decisions, and compliance with institutional policy
  • Best practice: have the IT department deploy an internal LLM server so clinical data is processed on-premises and does not need to be sent to external AI services

Recommended Deployment

For hospitals or clinics with higher privacy requirements, the recommended architecture is to connect MedRecordBar to an internal LLM endpoint managed by the IT department. This keeps clinical text and AI processing on-premises while still allowing staff to use screenshot OCR, phone input, and structured note generation.

Mobile input page with a fixed send-to-computer button

Mobile Input Workflow

The mobile page does not request microphone permission or run web speech recognition. Tap the text box, open the phone keyboard, and use the built-in iOS or Android microphone button.

  • The desktop app opens a QR code for mobile input
  • The phone opens the input page without installing an app
  • Dictate Chinese or English and edit the text before sending
  • Tap Send to Computer and the text is added to MedRecordBar automatically

From Dictation to English SOAP

The original mobile input remains editable. Clinicians can add, remove, or merge HIS content, screenshot OCR results, and copied text-box fragments before generating the final draft.

  • Supports SOAP, S/O/A/P, admission note, discharge summary, and other formats
  • Converts Chinese symptom descriptions into clinically usable English drafts
  • Keeps an AI warning so users know they must verify the final content
  • Works with screenshot OCR, copy-textbox capture, manual input, and mobile input

Floating Bar for HIS Workflows

The floating bar stays above HIS or report windows and offers quick access to screenshot OCR, copy-textbox capture, manual input, mobile input, and the main window.

  • Screenshot OCR captures selected screen regions
  • Copy Text Box reads selectable HIS or report text fields
  • Generated English drafts can be copied or exported
  • Supports OpenAI-compatible API settings and existing AI subscriptions
